OpenAI introduced ChatGPT Work on 9 July 2026, moving the ChatGPT experience beyond individual questions towards longer assignments that can gather information, work through several steps and produce usable deliverables. For a small trading business, the intriguing part is not an artificial intelligence system writing a polished paragraph. It is the possibility of coordinating information from customer records, documents, spreadsheets and approved connected applications while a responsible employee remains able to redirect the work. That possibility also exposes difficult questions about access, evidence, approvals and what counts as finished.

OpenAI's launch announcement describes a product that can research, analyse, plan and produce documents, spreadsheets, presentations, reports and Sites, with user involvement during the task. These are first-party product descriptions, not an independent benchmark demonstrating savings or flawless completion. Availability and features can differ by plan, device, workspace settings and date. A business evaluating the launch should test a specific existing process, not assume that every application is connected or that an agent may act without authorisation.

The July launch changes the unit of work

Traditional chat interactions often end with advice or a draft. The employee then has to find another file, copy numbers into a spreadsheet, check a customer record and assemble the final pack. OpenAI positions Work for carrying more of that sequence through to a reviewable output. Its 9 July launch announcement describes multi-step work across applications and files, while the release notes record the dated product introduction and rollout.

That distinction matters operationally. A company may have an efficient way to answer a customer question but still waste time assembling the evidence for a management decision. An agent may help gather that evidence when sources are accessible and permissioned. It may also make the wrong inference if the source documents disagree or a historical spreadsheet is mistaken for the latest approved information.

The sensible starting point is to describe the actual outcome required. For instance, a weekly operations briefing should identify open delivery exceptions, their owners and the original records supporting them. A finished briefing is not simply a long document; a colleague must be able to trace important statements back to authoritative material.

Map the sources before asking an agent to gather them

A small supplier may keep sales opportunities in CRM, accepted orders in commerce software, invoices in accounting, product specifications in shared files and service problems in a helpdesk. These sources can disagree temporarily without any one application being broken. A customer address in CRM may be newer than a previously issued invoice address, yet the invoice is still a historical transaction that should not be rewritten.

For each intended Work task, identify the source of truth and the permitted use of its information. A manager preparing a sales meeting might need open opportunity details and follow-up tasks but not unrestricted banking information or confidential staff notes. Distinguish data that may be read for context from data the task is authorised to change.

Keep record identifiers and source dates with consequential facts. A generated summary saying 'delivery is confirmed' should be checked against the actual order state, not a salesperson's tentative email. If two sources conflict, the task should expose that uncertainty rather than quietly choosing whichever wording sounds more plausible.

Connected apps do not imply unrestricted permission

OpenAI's current app-permissions guidance distinguishes controls around reading information and taking actions, subject to account and workspace configuration. The presence of a plugin or app integration does not itself grant every provider permission, and important actions may require approval. A UK small business should check the actual connected account, source permissions, workspace policy and available action controls before handing over a real assignment.

Use a principle of least privilege. An assistant preparing a customer-meeting brief might need to see a selected CRM account and related documents; it should not be allowed to export the entire customer database or issue credits. A task that creates an internal draft needs a different approval standard from one sending information to an external address.

Review who can create connections and what happens when employees leave. If a plugin relies on a personal account, access changes may disrupt a recurring workflow. The business needs named ownership for connected sources and a way to stop an action that reaches beyond its intended scope.

Begin with work that is reviewable and reversible

Suitable early tasks include preparing an internal meeting pack, comparing approved supplier specifications, organising a draft project status report or finding contradictions among customer follow-up lists. The output can be reviewed before another system relies on it. Avoid starting with autonomous contract amendments, payments or promises about stock that have not been verified by the responsible staff.

Create a small pilot description containing the trigger, inputs, expected deliverable, authoritative sources and common exception cases. Specify whether the task may draft, propose, update or transmit. Those verbs have very different consequences. A generated spreadsheet with suggested changes is not the same as an authorised update to the CRM.

Test missing documents, outdated prices, a record that cannot be matched confidently and a user who changes the scope halfway through. The correct behaviour may be a clearly labelled unresolved question. The best pilot includes at least one case the agent should not complete without a person.

Make approval a real decision rather than a ceremonial click

OpenAI's product notes say users can follow progress, answer questions, change direction and approve important actions. That human role works only when the reviewer can see what is proposed and why. A person asked to authorise sending a customer message needs the intended recipient, relevant source, exact content and any uncertain claims, not a generic prompt to approve the next step.

Separate preparation, authorisation and execution. An agent may prepare a credit request; a manager may approve it; finance may then post the transaction. Each state needs its own source evidence. Completion can be declared only after the appropriate downstream action is verified, and a failed tool call should not be disguised as a successful business event.

Think about interruptions. If the approver is away or the connected app becomes unavailable, the assignment should remain visible with an accountable next action. Replaying an operation may produce duplicate notifications or records unless the target system checks whether it has already happened.

Scheduled and event-based work needs operational ownership

OpenAI's scheduled-task documentation describes one-off, recurring and supported event-triggered arrangements, with eligibility and connection conditions. These features can support a recurring operating brief or an alert based on supported app activity, but they are not a guarantee that a particular CRM event is available to every user. A buyer must confirm the current supported trigger and plan rather than invent a general automation capability.

A recurring report is particularly vulnerable to stale definitions. If the sales pipeline changes, the task instructions and data mapping may become incorrect even if the task continues to execute. Assign somebody to review outputs, source access, prompt changes and exceptions. Avoid relying on a schedule as a substitute for accountability.

Keep an exit plan. A scheduled workflow tied to an employee who leaves must be transferred or stopped, and any relevant results should remain available under appropriate company governance. Establish who can pause the task if it starts producing misleading information.

Evaluate evidence quality rather than visible activity

Run the same assignment using the current manual process and the proposed Work process where permitted. Compare whether the final document includes the required facts, references the correct period, identifies open exceptions and avoids unsupported statements. Record human corrections, missing source access and effort spent checking. A large volume of generated content or many tool calls does not demonstrate a useful outcome.

Do not borrow performance numbers from unrelated demonstrations. A successful single trial cannot establish consistent savings across the firm's work. Use a bounded set of representative cases and disclose the limitations, particularly where employees contributed different amounts of preparation or source data changed between tests.

Consider sensitive information and retention. Business files can contain personal data, commercial terms or confidential customer requests. Choose authorised sources, review supplier and workspace controls and decide what information is genuinely necessary for the task. A polished final document is not a licence to copy all connected records into another storage location.

What the launch means for a small trading team

ChatGPT Work makes the idea of delegating a multi-step deliverable more tangible, but it does not remove the need for reliable source records, permissions and people who understand the decision. Start with a specific document or analysis that staff already prepare, require source evidence and review the first outcomes carefully. Only extend towards actions when access, approvals and exception handling have been tested.

For a small business, the most promising shift is not from humans to an autonomous workforce. It is from fragmented preparation towards better coordinated, reviewable work. The July 2026 launch supplies a new product option; the company's own records and tested operating controls determine whether that option earns a place in the workflow.

When should a business use ordinary ChatGPT chat or ChatGPT Work?

Both are available ChatGPT experiences, but they address different assignment scopes. Compare the requested outcome, source access and review obligations rather than assuming the agent is always preferable.

Documented product scope and an editorial decision framework, November 2026
CriterionChatGPT chatChatGPT Work
Typical requestExplain a question, draft text or discuss an idea.Carry through a defined multi-step analysis or finished deliverable.
Source handlingUser supplies relevant context for the chat. Can use permitted files and connected tools where available.
ProgressUser generally guides individual requests.User can inspect progress and redirect longer work.
Consequential actionDo not assume a draft constitutes an authorised business action.Connected actions remain subject to permissions and approvals.
Best fitSingle question or self-contained draft.Reviewable tasks requiring several sources or steps.

Practical decision: use chat for a bounded answer or draft. Test Work when the objective is a finished, multi-source task and its sources and approvals can be governed. Neither mode guarantees correct business results.

Frequently Asked Questions

What does ChatGPT Work add to a business workflow?

It is designed for longer, multi-step work that can gather context, plan an approach, work across supported files or connected tools and produce finished outputs. The appropriate use depends on the task, available connections, permissions and required human review.

Can ChatGPT Work use information from other business tools?

OpenAI describes Work as able to use connected apps, files and plugins where supported and authorised. Do not assume a particular CRM or workflow product is integrated without checking the current supported connection and the permissions available in the organisation's setup.

How should a business evaluate ChatGPT Work?

Start with a bounded workflow that has clear inputs, ownership and a reviewable output. Test the actual task, exceptions and approval points, and judge the completed work and rework required rather than relying on broad automation claims or assumed pricing advantages.
