Keep Booking Changes From Turning Into Front-of-House Confusion

Practical guidance for UK restaurants recording table booking changes so time, party details, customer requests and staff handovers remain current.

A restaurant booking can change several times before the customer arrives. The time moves, the party size changes, a customer calls back with another request or a colleague takes an update during a busy service. If the original booking and later messages are not reconciled, front-of-house staff may prepare for the wrong version.

A simple change log keeps the current booking clear while preserving enough history to understand how it reached that state.

Update the main booking, not just the message trail

When a customer confirms a change, reflect it in the working booking record. A note sitting in a separate inbox is easy to miss when staff prepare the service.

Keep the previous state understandable

Where useful, preserve what changed rather than deleting all trace of the earlier arrangement. This helps staff understand why table planning or previous communication may look different.

Confirm material changes with the customer

Make sure both sides are working from the same time, party details and agreed arrangements. The restaurant should not rely on an ambiguous message if the practical impact of the change is unclear.

Flag changes that affect table planning

A different party size or arrival time may affect how the booking fits the service. Make those changes visible to the person responsible for the floor rather than treating them as ordinary contact notes.

Keep customer requests attached to the current booking

If the restaurant records relevant customer requests through its normal process, make sure they remain associated with the active version of the booking after other details change.

Brief the next shift on unresolved points

If a change still needs confirmation, give it an owner and a clear status. Avoid leaving the next team to discover uncertainty only when the customer arrives.

Close superseded notes after confirmation

Once the current arrangement is established, mark older working notes as superseded where appropriate so staff do not act on both versions.

Booking-change control is a small operational discipline with a visible customer effect. It gives front-of-house staff confidence that the booking they are preparing is the one the customer currently expects.
